Why cant I download QPresenter?.

I can't install the QPresenter program I just downloaded.
We have seen instances of users having difficulty when the initial download was saved on their desktop. To fix this make sure the original downloaded file is saved to a normal folder on your hard disk, for example c:\temp, then double-click on the .exe file to run the installer.

QPresenter has installed but does not work properly.
To install QPresenter successfully you, as a logged-on user, must have full Administrator privileges for your machine. If your IT department has configured your machine to stop you installing software you may not have full Administrator privileges. In this case you will need to contact IT and ask them to help, perhaps by logging on to your machine as an Administrator. It is also necessary to have PowerPoint installed on the same machine.

How can I tell if my PC has a dual-screen graphics adaptor?
Some machines, particularly Laptops, ship with a dual screen graphics adaptor as standard. This means they can display your desktop on their screen but a different picture on a second screen or projector plugged into the back of the machine. If the graphics a daptor is not 'dual' an identical image will appear on both screens.

To see if your adaptor is 'dual' right-click on the desktop and click on 'Properties' then from the 'Display Properties' window click the 'Settings' tab then the 'Advanced' button. If you have a dual adaptor you should see If your PC is capable of outputting to two display devices you will be able to see two boxes depicting your two screens. Click on box number two, i.e. your secondary display device, and then tick the box "Extend my Windows desktop onto this monitor", then click OK. If you can see two boxes your PC is equipped with a dual display adaptor.
You must ensure:-

  • That you have a second display device plugged in to your PC, otherwise you will be sending the presentation to a display device that does not exist.
  • That the secondary display device box is placed to the right of the primary display device as in the graphic above.
  • That the resolution of the secondary display device matches the content you intend to show.

You should now be able to move your cursor off to right-hand edge of your monitor and have it appear on the left-hand edge of your secondary display device.
Once you have your two display devices working correctly you can open QPresenter, open any existing Custom Presentation and press Present. QPresenter will detect that you have the Dual Screen option enabled in Windows and will automatically play the presentation on the secondary display device. The following image shows what you should see on your primary display device.

I have a dual-screen display card but my presentation does not appear on my second monitor or projector, why?
Usually this functionality is automatic. However, with some systems the second monitor is not sensed automatically by PowerPoint. To rectify this, close down QPresenter then open up PowerPoint. From PowerPoint's 'Slide Show' menu select 'Set up Show' then go to the 'Multiple Monitors' panel and click the drop-down box under the caption 'Display Dsiplay slide show on:' and select your second moitor or projector.

The screen should look something like this:

Lastly, click 'OK', close down PowerPoint then re-start QPresenter and all should be well.

Why do backgrounds and other images or text change when combining slides from two or more presentations?
This can happen when you make a custom presentation using slides from two or more existing PowerPoint presentations, the slides of which are relying on information stored in the ‘Slide Master’ – a kind of template that can hold background image and font information that will apply to all the slides in that presentation. Because, older versions of PowerPoint allowed one single Slide Master per presentation only, a choice was always needed between which Master should be used for the new presentation.

If you intend to ‘mix and match’ slides with incompatible "Slide Masters" using an old version of QPresenter or PowerPoint and wish to avoid this problem, it is a good idea NOT to use Slide Masters to specify styles, fonts, background images etc. Instead, add font styles and images to each slide individually so that each slide stands alone, whether a Slide Master is present or not. That way, imposing another Slide Master onto your slides should make no difference to their appearance. In this scenario it is a good idea to ensure that all Slide Masters you intend to distribute are completely empty, containing no information of any kind. (See also ‘What has happened to my slide layouts?’)

Also, we suggest using the standard fonts supplied by default with Windows only, since you cannot be sure other users have the same fonts installed as you do. If they do not, your nicely formatted text may appear differently from what you intended. To be on the safe side, we advise users to stick with the usual Arial and Times New Roman fonts shipped wiuth XP. If you need to use special fonts that might not be on the computer that will view your presentation, then you may 'embed' that font into the presentation using an option on the save window. (See also ‘Why don’t my Fonts appear correctly?’).

Note: PowerPoint (2002 or later) now permits the use of multiple Slide Masters for a presentation and QPresenter (v.4.4.1 or later) provides a simple way of automatically combining PowerPoint files that have either different or multiple Slide Masters. This means many of the above Slide Master issues may simply disappear and we advise users to upgrade to the latest QPresenter and PowerPoint versions.

Does QPresenter work with Office 97?
QPresenter has been designed to work with Office 2000 and above, however, it may work sufficiently well for your purposes with Office 97 but we do not offer support for Office 97 related issues.

What has happened to my slide layouts?
During the production and testing of QPresenter we have encountered a number of situations in which the fonts used in a PowerPoint slide seemingly become substituted for different fonts, thereby potentially causing slide design and layout to be spoilt.

This problem can arise when PowerPoint looks for a particular font and cannot find an exact match for the one used to create the slide. It may then substitute another font for the one you've used that may have somewhat different attributes, causing the slide text to appear too large or to appear in a different position. When this happens, check to see what system the slide was created on in the first place and what fonts were used. Examine the presentation using PowerPoint alone and, if the problem is still there, it is likely that the problem lies with PowerPoint rather than QPresenter.

This behavious can also occur when using PowerPoint slides from different presentations, each of which contains a different PowerPoint 'Slide Master'. In the latter case, provided you are using PowerPoint 2002 or later, QPresenter v4.4.1 (or later) can automatically handle multiple PowerPoint Slide Masters so this is unlikely to be the cause.

Why don’t my Fonts appear correctly?
After having created a new Custom Presentation using QPresenter and then distributing it, you may find that the fonts do not appear as you expected.

Unless the font you have used for your new Presentation is one of the standard fonts that ship with Windows you have no way of knowing if any of the expected target PCs have this font installed. If they do not have your font installed, Windows will substitute your font for the most similar font that is available on the target PC. Apart from not looking the same as the original presentation this can also play havoc with your slide layout and possibly render your new presentation useless on any PC that does have the required font installed.

To avoid this you can ‘Embed’ a non-standard font into your Custom Presentation. For this to work you will need the non-standard font installed on the machine running QPresenter. This ensures that, once distributed, the target PCs can use the non-standard fonts you used in your slides.

To embed fonts into your new Custom Presentation all you have to do is tick the ‘Embed Fonts’ option in the ‘Tools’ menu. Each time you save this presentation this tells QPresenter to embed all the fonts used within the saved file. As you would expect this has the effect of slightly increasing the size of a saved file.

What if I use a Macintosh computer?
PowerPoint slides that have been created or modified on a Macintosh computer can appear to have text that overflows text boxes or layouts that are incorrect when viewed on a PC. This problem can be caused when the Macintosh fonts used to create the slides don’t have a direct equivalent on the PC. To avoid these problems it is advisable to use only those fonts that ship as a default with Windows systems, such as Arial, Times Roman etc.

Why can’t I link to Live Word or Excel files?
When you import a Word or Excel file into QPresenter, a copy of the Word or Excel file is made and put into the Library folder of the QPresenter installation. When you click on the ‘Link’ icon in the top left hand corner of a slide containing a representation of a Word or Excel file it is this copied document that is loaded into Word or Excel. If this file remains in place the link should work. However, if this file is moved or deleted the link will be broken. To remedy this you can either a) Copy the original file and place it in the relevant Library folder within the QPresenter installation folder, or b) Delete the presentation from QPresenter using the ‘Tools/Remove Items From Library’ facility and re-import the original Word or Excel file into the QPresenter Library using ‘Add’ button.

Why can’t I email my presentation?
For QPresenter to be able to email your presentations you must have MS Outlook 97 or greater installed on your PC. This function will not work with any other email program at present. If you have a live Internet connection Outlook will attempt to send the Email straight away. If you are not connected to the Internet the Email will be placed in Outlook’s ‘Outbox’ until you connect, at which point the Email containing your presentation will be sent.

Can I Capture Word and Excel documents?
Yes. Word and Excel from Office 2000 (or later) must be installed to do this.
When Capturing MS Word or Excel files QPresenter uses MS Office programs in the background so if QPresenter is not maximized you may notice the additional program appear on the Task Bar. If for any reason the required Office program is unable to open, QPresenter will not be able to capture your files. If there appears to be an unusually long delay while QPresenter attempts to capture either Word or Excel files it is advisable to either press Alt-Tab or use the Task Manager to bring the required Microsoft program to the fore and see if any error messages are being displayed.

Can I capture Web pages and include them in my Presentation?
Certainly. To do this you must have Microsoft’s Internet Explorer version 5.0 (or greater) installed on your PC. Press the ‘Web’ Library button on QPresenter then blue ‘Add’ button and navigate to the desired Web page using QPresenter’s built in browser. Once you have found the required Web page press the ‘Capture’ button. Note: Web capture does not work using Netscape or any browser other than Internet Explorer.

What if my Libraries get too full?
If you find that your Libraries are getting too full and you are having to scroll though huge lists of presentations to find what you're looking for, you can remove unwanted presentations from the Libraries by right-clicking on a presentation and selecting 'Delete' from the drop-down list
Note: you may select multiple files from a single Library and delete them all together to save time.

Why is no File Size given for a PowerPoint file attached to my Email?
If you try to email a new Custom Presentation to somebody before you have saved it, QPresenter cannot calculate the size of this presentation as an attachment. To find out how big the attachment will be, just save the Custom Presentation and click the ‘Email To’ button again.
Note: If you try to email a new Custom Presentation to somebody before you have saved it, QPresenter has no file name to give to the attachment. In this situation QPresenter will call the attachment tmp01.ppt.

What is the ‘New’ command for?
If you have a named (saved) Custom Presentation in the ‘Custom Presentation’ Window and decide you want to start a new Custom Presentation, you must use the ‘New’ command from the File menu or Click the ‘New’ button in the lower right hand corner of the interface.

Removing all slides from an existing Custom Presentation and starting again may feel like you are starting a new Custom Presentation but QPresenter will treat these changes as changes to the existing named Custom Presentation. If you click the ‘Save’ option from the File menu you will save the current presentation over the top of your named ‘Custom Presentation’, so be careful to give each new presentation a new name when saving. As with any other program, it is safer to use the ‘Save As’ command if you are in any doubt about using the ‘Save’ Command.

Date Limited files do not open in different countries
When working internationally it may be impossible to open a QPresenter presentation that has been encrypted and date-limited. This may be because some countries use a different date format, for example in the US dates are stored as mm-dd-yyyy, in the UK they are dd-mm-yyyy and in China they are shown as yyyy-mm-dd. Changing the default date format on the target PC may resolve this problem.

To do this go to Control Panel->Regional and Language Options then click on the Regional Options tab, then click the Customize button then the Date tab and select the format for the source English (e.g. US) date format - for example: Short date format: "M/d/yyyy" and Long date format: "MMMM dd, yyyy".

The important thing here is to ensure that date format on the target machine is the same as that used by the originator of an encrypted presentation, otherwise QPresenter will be unable to open the date-limited file, believing it to be out of date.
